Events Production Manager

JOB DESCRIPTION

The Events Production Manager is an integral member of the Center for Asian American Media (CAAM) staff and is responsible for the coordination and execution of year-round public events, including our CAAMFest film, music and food festival in May.  The position reports directly to Festival and Exhibitions Director and works closely with the entire CAAM staff.

This position is at the core of all programs involving in-person public attendance for the organization, including screenings, concerts, panels, food events, fundraisers, seminars, meetings, media industry gatherings and other development related events. General duties include events planning, staffing, execution and management. This position also designs and manages virtual events and programming.

This position also involves external communication with community partners in the Bay Area and across the U.S. including community organizations, governmental bodies, educational institutions, event sponsors and other event stakeholders.

SPECIFIC DUTIES

  • In conjunction with CAAM leadership, plan event presentation from start to finish according to program and organizational requirements, target audience and objectives
  • Maintain and coordinate project event timelines and schedules throughout the year, and especially during the CAAMFest itself
  • Prepare and implement suggestions to enhance the event’s success
  • Prepare event budgets and ensure budget adherence in conjunction with finance and other department heads
  • Produce virtual events and programming including research, testing and confirming new platforms and virtual spaces for audience engagement.
  • Source and negotiate with vendors, contractors and suppliers
  • Manage hiring of event personnel (contractors, seasonal staff, vendors etc.)
  • Supervise all event staff (contractors, seasonal staff, vendors, volunteers, etc.)
  • Serve as CAAM liaison to event participants to track incoming materials including contracts, stipend requests, exhibition formats and riders
  • Coordinate all event operations for both in-person and virtual programs
  • Approve all aspects of event logistics before the day of the event
  • Assist in analysis of event success and preparation of reports
  • Support promotional activities for the event in conjunction with marketing staff
  • Assist CAAM staff to research and build community partnerships
  • Record-keeping and updating filing systems

Marketing Coordinator

POSITION: Marketing Coordinator

SUPERVISOR: Content Manager

OVERVIEW

The Marketing Coordinator implements CAAM’s marketing and digital media strategies including CAAM’s social media strategies and implementation, institutional promotional writing and support of the CAAM blog and website

This position will also project manage year-round marketing initiatives by attending marketing meetings and collaborating with the marketing team on year-round strategies.

SPECIFIC DUTIES

  • Manage CAAM’s social media channels (including Facebook, Twitter, Instagram, LinkedIn and YouTube) using Sprout Social.
  • Collaborate and coordinate with CAAM’s Content Manager on web and social media strategies. (Including the development of specific, measurable goals identifying potential partners)
  • Gather social media metrics and impact using Sprout Social and report out to stakeholders quarterly.
  • Buy social media ads as-needed.
  • Develop and implement digital and interactive programs on a case-by-case basis.
  • Promote CAAM programs and initiatives through periodic email newsletters
  • Create content and marketing assets and graphics for social media toolkits
  • Coordinate assets for print, TV, radio, billboards and various community outlets and collaborations
  • Work with partner organizations to coordinate co-presenting of CAAM events,
  • Attend weekly Marketing and Staff meetings to provide updates and collaborate.
  • Work with Festival Director and seasonal staff as needed to promote CAAMFest through social media, sponsorships, website, and virtual or in-person events
  • Light video editing and creation, particularly for social media.

  • Work with freelance photographers and graphic designers to optimize images for social media needs.

DESIRED QUALIFICATIONS

  • Minimum of two years of marketing experience required.
  • Excellent communication and marketing skills.
  • Proven experience in social media content creation and content management.
  • Thorough knowledge of social media management tools such as Sprout Social or Hootsuite.
  • Experience with WordPress.

CAAM is seeking a talented Development Assistant with strong development and administrative experience, including maintaining databases and implementing stewardship activities. RESPONSIBILITIES:

  • Research prospective donors and foundation, corporate, and government funders

LOCATION: Given the current surge in COVID-19 cases due in part to the delta variant, CAAM’s staff and interns are working remotely until it is again safe to return to CAAM’s office in San Francisco. CAAM seeks a motivated and outgoing Development Intern (or Volunteer) Membership & Fundraising Projects who is passionate about the Asian American community and media arts to assist the CAAM’s Development department. The Development department manages all corporate sponsor, partner, Board Member, member and donor relationships, and special events. The Development Intern (or Volunteer) Membership & Fundraising Projects works closely with our Membership and Donor Relations Manager and CAAM staff to help manage and provide excellent customer service to CAAM Board Members, members, donors, and assist with the execution of CAAM’s member/supporter outreach, stewardship and cultivation efforts, and other fundraising activities. The programs and special events that this position may be asked to assist with include, but are not limited to: CAAM’s winter and spring member/supporter events, CAAMFest40 (May 12-22, 2022), and other selected special programs and events.

The intern (or volunteer) will be introduced to Asian American history and the world of public and independent media at one of the most prestigious Asian American media arts organizations in the country. The intern (or volunteer) will be exposed to skills and knowledge in the areas of fundraising, membership, donor development, and event planning in a professional non-profit setting. As part of the team that produces CAAM’s special events, the intern will also have the opportunity to network with CAAM’s larger family of film and media makers, industry professionals, and community organizations.

You may be asked to help with the following:

  • Assist with the administration of the membership program, including researching current and prospective members and donors
  • Help maintain and update member, donor, and prospective member and donor records in CAAM’s customer relationship (CRM) system (DonorPerfect)
  • Logistical support for special events and fundraisers planned before and during CAAMFest40
  • Help the Membership and Donor Relations Manager with membership and donation benefits fulfillment
  • Draft copy and compile images for CAAM’s email newsletter, CAAM Connect, and email communications for members, donors, and supporters using Mad Mimi
  • Work with the Membership and Donor Relations Manager to provide excellent customer service to CAAM Board Members, members, donors, and other constituents before, during, and after selected special events.

Operations Manager

JOB DESCRIPTION

The Operations Manager, under the direction of the Events Production Manager, is responsible for coordinating and managing the logistical and day-to-day operations necessary for CAAMFest (formerly the San Francisco Asian American Film Festival), which takes place May 13-23, 2021.

The Operations Manager will work to ensure smooth execution of Festival programs through effective project management and a hands-on approach.

During Festival, the Operations Manager will oversee virtual technical staff and consultants, as well as manage onsite staff, including Box Office Associates, to ensure that all shows and events are executed in a timely and orderly manner.

SPECIFIC DUTIES

  • Assess needs and create plans and timelines for smooth operations of the Festival
  • Project manage on-demand panel recordings, including, but not limited to scheduling recordings, creating show flows, facilitating production of assets, and fostering accessibility through closed captioning
  • Project manage live virtual screenings/conversations
  • Project manage the production of community gift boxes by developing timelines, communicating with different departments, coordinating deliveries & assembly
  • Manage CAAMFest virtual platform venues and in-person venues
  • Work with print traffic to ensure all media is tested and ready for screenings
  • Coordinate technical details with print traffic and venue tech managers
  • Oversee staff for in-person programs/drive-ins
  • Work with the CAAM marketing team to determine on-site signage needs and festival badge needs
  • Arrange for microphones, stands, chairs, podiums, etc. for in-person programs
  • Act as liaison with venue management to ensure smooth operation
  • Facilitate rental equipment set-up and close-out at festival venues
  • Orchestrate set-up and breakdown of CAAMFest presence from venues (signage, furniture, materials, merchandise, etc.)
  • Attend and actively participate in festival meetings
  • Additional responsibilities include assistance with all other aspects of festival preparation, volunteer/intern management

The Events Production Coordinator, under the direction of the Events Production Manager, will assist the festival team in the virtual production of CAAMFest Forward, which takes place May 13-23, 2021.

SPECIFIC DUTIES

  • Provide virtual festival registration & ticketing oversight
  • Attend to customer service-related inquiries within 24 hours
  • Develop and implement the post-festival survey in consultation with CAAM staff
  • Produce analytical reports on post-festival survey, attendee ticketing & participation, as well as customer service inquiries
  • Run the technical production for 1-2 online programs
  • Assist with the creation of virtual production materials
  • General – Participate in virtual rehearsals, wrap meetings, and team meetings to provide advice and support

Digital Graphic Designer and Video Editor will be responsible for designing graphic materials that reflect the branding and identity of CAAM and CAAMFest. From pre-festival to post-festival, this position will work with our marketing team to produce a variety of digital collateral, including editing promotional videos.

SPECIFIC DUTIES

  • Work closely with our year-round marketing team and the Festival department to create and design motion and digital assets for CAAMFest
  • Produce motion and still social media assets
  • Edit the CAAMFest content including trailer, PSAs and welcome videos
  • Produce virtual platform (REMO) floorplans
  • Create designs adhering to department schedules to ensure deadlines are met
  • Design digital slides and signage for events

JOB DESCRIPTION

The Public Relations and Content Coordinator, under the direction of the Festival Director and Content Manager, will be in charge of all day-to-day administrative publicity activities for CAAMFest (formerly the San Francisco Asian American Film Festival), taking place May 13–23, 2021. The PR and Content Coordinator will liaise with CAAM’s development and communications staff and the festival’s external public relations agency to ensure consistent and on target messaging. Primary duties include managing press materials such as video screeners, press kits, still images, as well as providing the press with all necessary materials. In addition, the coordinator will help build CAAM’s relationship with print, TV and online outlets that cover ethnic communities and the arts. This position will also produce original content for the festival.

SPECIFIC DUTIES

  • Coordinate all areas of public relations including virtual press conferences, interviews for appropriate spokespeople and liaising with external and internal constituencies
  • Maintain and manage a digital screeners library for the press
  • Assemble festival press kit
  • Collect and distribute press materials for each film
  • Write press releases and listings as needed

JOB DESCRIPTION
The Marketing Assistant is responsible for assisting in the implementation of the marketing and digital media strategies for CAAMFest. This includes social media, community outreach, distribution of print materials, managing photographers, and providing general support to the Marketing team. In coordination with festival and development departments, the Marketing Assistant will work with Digital Media team, Marketing Manager, and Content Manager to execute marketing plan.

SPECIFIC DUTIES

  • Develop and implement advertising strategies for co-presenters including media assets and copy for their use in their newsletters, social media, etc.
  • Maintain current database of community co-presenters
  • Research, solicit and confirm community co-presenters for all programs at the Festival
  • Work with Marketing Manager and Content Manager to implement on-line and viral marketing strategies
  • Ability to produce digital marketing collaterals

  • Ensure that festival information on website is up-to-date and accurate
  • Bring on photographers, coordinate with them, and create shot lists for them during Festival.
  • Support Marketing team as needed

Events Production Coordinator

POSITION:      Events Production Coordinator

TERMS OF EMPLOYMENT: April 12 – June 4, 2022, part-time, 24-30 hrs/wk, Option to extend, Non-exempt, temporary, no benefits (except paid sick leave)

PAY: $20/hour

JOB DESCRIPTION

The Events Production Coordinator, under the direction of the Events Production Manager, will assist the festival team in the virtual production of CAAMFest Forward, which takes place May 13-23, 2021.

SPECIFIC DUTIES

  • Provide virtual festival registration & ticketing oversight
  • Attend to customer service-related inquiries within 24 hours
  • Develop and implement the post-festival survey in consultation with CAAM staff
  • Produce analytical reports on post-festival survey, attendee ticketing & participation, as well as customer service inquiries
  • Run the technical production for 1-2 online programs
  • Assist with the creation of virtual production materials
  • General – Participate in virtual rehearsals, wrap meetings, and team meetings to provide advice and support

DESIRED QUALIFICATIONS

  • Excellent communication and project management skills
  • Organized, self-starter who excels at diving in and getting things done
  • Fluency in Google Workspace applications
  • Experience in virtual events production preferred
  • Experience with StreamYard platform preferred
  • Knowledge of Asian American community, organizations, and arts preferred
